How to open an encrypted email (Internal and External emails)

When sending attachments to a person outside of the organization, we have to take in consideration what type of information and if it complies with HIPPA. 

Unlike sending emails within the company, emails sent to a patient, must be sent out encrypted (as seen below).

Clicking on the attachment on the bottom, won’t display or download anything.

What steps does a patient needs to follow when opening an encrypted email?

  • The first step is to have them click the blue “Read the message" button which then brings them to a separate screen.
  • On that screen they have the option to sign in to their account or use a one-time code

  • Note: The one-time code is the preferred method, which then sends another email to them to get into it.


  • Once they’ve received the code and typed it in, they should be able to view the attachment normally
